Terms and conditions
These terms are the agreement between Sovereign Mail ("we", "us") and the organisation that opens an account ("you"). By creating an account or using the service, you accept them on behalf of that organisation.
Last updated 13 October 2026.
1. The service
Sovereign Mail is a UK-hosted transactional email service: you send email from your own verified domains through our API or SMTP relay, and we deliver it and report what happened. It is for businesses and other organisations, not for personal use.
2. Your account
- The details you give us must be true, and you must keep them up to date.
- New accounts are reviewed before they can send to real recipients. We may ask for more information, and may decline an account without giving a reason.
- You're responsible for everything done with your account, its API keys and SMTP credentials. Keep them secret, and tell us at once at support@sovmail.co.uk if you think they've been misused.
3. Acceptable use
The service is for transactional email: messages a recipient expects because of something they did or an account they hold, such as sign-in links, password resets, receipts, alerts and notifications. You must not use it to send:
- marketing, newsletters or bulk promotional email;
- email to bought, rented, scraped or harvested lists, or to anyone who hasn't asked to hear from you;
- phishing, malware, fraud, or messages that impersonate someone else;
- anything unlawful, including anything that breaks PECR, UK GDPR, the Computer Misuse Act or the Fraud Act.
You must only send from domains you control, keep bounce and complaint rates low, and stop emailing addresses we've suppressed. We check content and monitor bounces, complaints and reputation automatically. If your sending puts other customers or our infrastructure at risk, we may limit, pause or suspend your account, straight away if necessary, and we'll tell you why.
4. Plans, payment and trials
- Plans, prices and monthly limits are shown on our pricing page. Prices exclude VAT where VAT applies.
- Paid plans are billed monthly in advance, by card (through Stripe) or by invoice and UK bank transfer. Invoices are due within the period shown on them.
- Paid plans paid by card start with a free trial where one is offered. Nothing is charged until the trial ends, and if you cancel before then you won't pay.
- If a payment is overdue we may restrict sending to the Free allowance until it's paid.
- When you reach your plan's limit, further sends are refused until the limit resets or you upgrade.
- We may change prices with at least 30 days' notice by email. The change applies from your next billing period after that.
5. Cancelling and ending the agreement
- You can cancel a paid plan at any time from Billing, or close your account by emailing support@sovmail.co.uk. A paid plan runs to the end of the period you've paid for; we don't refund part-used periods.
- We can end the agreement with 30 days' notice, or immediately if you seriously or repeatedly break these terms, don't pay, or use the service unlawfully.
- When the agreement ends we delete your account data as described in our privacy notice.
6. Data protection
For the email you send and its recipients, you are the controller and we are your processor. We process that data only on your instructions, keep it in the UK, and meet the processor terms of UK GDPR Article 28; our Data Processing Agreement forms part of these terms and is available on request. You're responsible for having a lawful basis to email your recipients. How we handle your own account data is set out in our privacy notice.
7. Availability and support
We work hard to keep the service running and your mail delivered, but we don't guarantee uninterrupted service or that every message will reach the inbox. Delivery depends on recipient providers we don't control. We may carry out maintenance, ideally with notice. Support is by email at support@sovmail.co.uk.
8. Your content
You keep all rights in the email, templates and other content you give us. You grant us only the rights needed to store, process and deliver it. You confirm you have the right to send it.
9. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law.
- Neither side is liable for loss of profit, revenue, business, goodwill or data, or for any indirect or consequential loss.
- Otherwise, each side's total liability under these terms in any 12 months is limited to the amount you paid us in those 12 months.
- You'll compensate us for claims brought against us by third parties because of the email you send or your breach of section 3.
10. Changes to these terms
We may update these terms. If a change matters, we'll email you at least 30 days before it takes effect. If you don't agree, you can cancel before then; carrying on using the service afterwards means you accept the new terms.
11. General
These terms, the Data Processing Agreement and any order you place with us are the whole agreement between us. If any part is found unenforceable, the rest still applies. Neither side is liable for delays caused by events outside its reasonable control. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
